Please note: General entries are open online until midnight Sunday 6 May 2018. From Monday 7 May 2018 a late fee of $10.00 will be added to your entry fee. This fee applies to all distances as outlined above. 

Late Entries: Participants may submit their late entry online or come to the help desk at athlete registration between 9am and 9pm on Friday 11 May. Please note if you enter online from Monday 7 May you will need to come to registration help desk to be allocated your bib number. Please allow time to do this if you are entering online on Friday 11 May. 

Personalised Bib: Enter before midnight on Sunday 22 April 2018 to secure your personalised race bib. If you enter after this date you will receive a number only on your bib. Please ensure you enter your name correctly in the entry system as this will be printed on your bib as it reads on your entry. 

Purchase an entry for Friends or Family as a gift in 2018 and we will send you a personalized gift voucher you can then gift to that special someone this festive season. 

Simply fill out the Gift Voucher form online with your details, name of the recipient and their email address, and within 7 days we will send you a personlised gift voucher that you can then send on to the recipient. The Gift voucher will contain a unique link which will allow them to register for the chosen event free of charge.

If the Giftee would like to change their race distance that you have purchased for them, then we can allow a free transfer to another distance.

• If an upgrade in distance is wanted then the difference in entry fee's will be charged to the athlete at time of registration with their link.
• If a downgrade in distance is wanted then we can arrange a refund in the difference of entry fee's to the person purchasing the voucher.

Any other Terms and Conditions are subject to the Air New Zealand Hawkes Bay International Marathon 2018 Event Terms and Conditions specified through our website and registration waivers.

WITHDRAWALS

If you need to withdraw you can choose to either refund your entry or transfer your entry to someone else, as per the transfer and refund policies below.

Note: If you withdraw from the race, your shuttle bus ticket is non-refundable. 

REFUND YOUR ENTRY

Entry fee refunds requested up until 19 February 2018 will receive 50% of their entry fee.

Entry fee refunds requested between 20 February 2018 and 2 April 2018 will receive 25% of their entry fee.

Unfortunately, entry fees are non-refundable from 3 April 2018 and we cannot refund entry fees after this date. Requests for refunds must be notified to the organisers via hawkesbaymarathon@ironman.com.

TRANSFER YOUR ENTRY TO SOMEONE ELSE

Participants can transfer their race entry to someone else up until midnight Tuesday 8 May 2018. No transfers will be accepted after this date.

Note: It is not permitted to transfer your race entry to someone else other than through this process, including on Race Day. It is very important for health and safety reasons for us to know the correct identity of every athlete on course, and accordingly it is strictly prohibited to race under another person's race bib. Any athletes caught doing this will be disqualified and may be prevented from entering future events.

Conditions of transfer:

• A transfer fee of $25.00 will be charged to the withdrawing athlete.
• It is not possible to transfer your entry to someone else to a different distance event (i.e. Full Marathon to Half Marathon).
• All Shuttle Bus tickets are non-transferable and non-refundable.  The person purchasing the transferred entry will need to purchase new Shuttle Bus tickets at the time of the online transfer.
• To transfer an entry to someone else the initial registrant goes to myevents.active.com and logs in using their active.com account, finds the registration they wish to transfer and clicks the link ‘Transfer the registration to another athlete’, and then follows the necessary steps. Please note: the receiving athlete will need to pay for the entry fee in order for the transfer to process, then the original athlete will be refunded their entry fee less the $25.00 transfer fee. 

TRANSFER YOUR ENTRY TO A DIFFERENT EVENT DISTANCE

Participants can request to transfer their entry between different race distances until 9pm Friday 11 May 2018 or until the race is sold out. Once the race distance is sold out and entries have closed to that event, no transfers will be accepted.

Conditions of transfer:

• A transfer fee of $25.00 will be charged for all transfers between race distances.
• If you decide to upgrade your event to a longer distance and space is available, you will need to pay the difference in entry fees.
• If you decide to downgrade your event to a shorter distance event and space is available, unfortunately we are not able to refund the difference in entry fees.
